The UOFC vs. The Yale College Dean’s Office?

The UOFC, or the Undergraduate Organizations Funding Committee, is a student-run sub-committee of the Yale College Council and is the main source of funding for undergraduate organizations on campus. The UOFC also manages a Capital Equipment program, through which undergraduate organizations can borrow speakers, mics, tables, and other equipment.

The Yale College Dean’s Office, specifically the Office of Student Affairs, oversees all registered undergraduate organizations on campus. The YCDO sets undergraduate organization policies, manages registration of undergraduate organizations, and facilitates access to the privileges of registration. Additionally, the Office of Student Affairs oversees the onboarding process, student organization leader training, and group discipline.

Registration Questions

I’m interested in starting a new group. What do I have to do?

  1. Commit. Consider your schedule. Do you have enough time to commit to building an organization? Keep in mind, for most groups, creating a new organization means thinking through your mission, recruiting others, planning for and leading meetings, and organizing events.
  2. Plan. If you believe strongly in your idea and are ready for the commitment of creating a new group, it’s time to create the skeleton of your organization and get others on board. Make sure you read through the registration and onboarding webpages to understand the requirements and process for starting a new student group.
  3. Register. In order to access space, recruit at the Student Organizations Bazaar, and apply for university funds, student organizations must register with the Yale College Dean’s Office. Beginning in 23-24, the Yale College Dean’s Office will only accept applications for new groups in the Spring. For exact registration dates, visit this website. Registration takes place through Yale Connect. If you’ve missed the deadline, you will need to wait until the next year to register your group. In the meantime, consider partnering with other organizations to host events.
  4. Affiliate. After you’ve registered your organization with the YCDO, you are free to connect with any relevant campus centers. Campus centers include, but are not limited to, the Cultural Centers, OISS, Dwight Hall, the Chaplain’s Office, the School of Engineering and Applied Sciences, and the Yale Entrepreneurial Institute. Affiliation with a campus center may allow you access to additional resources, including funding and space. Each affiliation process is unique and varies in formality, so reach out directly to the center if you have questions about affiliation.
  5. Onboard. For the first semester of your organization’s existence, you will go through the onboarding process. During the onboarding process, you will meet with your Student Organizations Consultant at least three times. Click here to learn more about the onboarding process. Note: if your organization chooses to become a Dwight Hall Member Group, you will not go through YCDO Onboarding and will instead complete Dwight Hall’s New Member process. 
  6. Update. The Onboarding Process culminates in a brief summary shared with the Student Organization Review Committee. The Committee will decide whether your group becomes a fully recognized organization or whether you need to complete further onboarding.

Please note, this link is only to show the questions currently asked on the application. You will need to complete and submit the form via Yale Connect in order to submit your intent to register application. This application is only available during the student organization registration dates.

What ​should current student organizations do to re-register for the upcoming academic year?

Registration for all current student organizations will remain active until the Fall registration deadline. If your group will continue to be active in the upcoming academic year, you are required to re-register annually via Yale Connect.

You must be an Officer of your organization’s Yale Connect portal in order to re-register your organization. If you are an Officer, during the registration period, you can re-register your organization via Yale Connect.

If your organization has not yet re-registered for the academic year, you will notice a blue box that says “Requires Re-Registration” on your Yale Connect portal. 

If you do not see the blue re-registration button, you may not be listed as an Officer on Yale Connect. 

Are there any check-ins or annual meetings required of returning organizations?

Yes! All student organizations are required to send at least one representative to an annual training. You will receive more details as they become available.

Please ensure that you are properly listed as an officer in your group’s portal in order to receive all notices from our office. 

I’m interested in starting a new group, but I don’t know if I need to register with the YCDO or with Club Sports. What do I do?

If you believe your group would be more of a student organization, email student.organizations@yale.edu.

If you believe your group is more likely a potential club sport, call the Club Sports Office at (203)432-2492 or stop by the office at 521 Payne Whitney Gymnasium.

My organization missed the fall registration window. What do I need to do to register for the remainder of the academic year?

Unfortunately, if you missed the re-registration deadline in the fall, your group will have to wait until the following academic year to register again. 

My group is registered with Dwight Hall. Do I also need to register with the YCDO?

Yes. If you are interested in accessing the privileges of YCDO registered organizations, including access to classroom spaces and UOFC funding, you will need to register separately with the YCDO and continue to re-register every year.

Registration with Dwight Hall does not automatically register your group with the YCDO.

Can I register my group if I have less than 5 members?

No, you will need at least 5 active members to register your organization.

My group has graduate or professional school members. Can I still register with the Yale College Dean’s Office?

The YCDO only registers undergraduate organizations. Undergraduate organizations are defined as groups whose membership is majority undergraduate and entire executive board is undergraduate.

This means that no graduate or professional school student may serve as a President or Treasurer for a group registered with the Yale College Dean’s Office. However, you are welcome and encouraged to have graduate or professional school members, as they will often bring a variety of experiences to your organization. The important thing is that the group remains majority undergraduate.

Do I have to complete the onboarding process if my group is not new?

All organizations are required to re-register with the Yale College Dean’s Office every year for continued access to all the privileges of registration.

If your organization’s registration lapsed for more than one year, you will need to provide information to the Student Organization Review Committee. Depending on how long it has been since your organization last registered with the Yale College Dean’s Office, you may also need to complete the Onboarding Process for one semester.

How can my organization request to change its name?

When an organization goes through the registration process, it is granted approval to use the name and acronym submitted in the registration form. If an organization would like to request to change its officially registered name name, it may submit an Organization Name and/or Category Change Request Form, which can be found in the Yale College Organization Officers portal. Name change requests must follow the requirements as outlined by Yale Trademark Licensing Office. Depending on the time of year, it may take up to 3 weeks to receive a decision for the request.


Participation

I couldn’t attend the organizations bazaar. Is there any kind of website that lists and describes the various student organizations?

For more information on each organization, you may also visit Yale Connect. Each registered student organization has a Yale Connect portal with information about the current leaders, mission of the group, and the days and times they meet.

Can a student on leave or studying abroad participate in student organization activities?

No, students on leave or studying abroad may not participate in the activities of undergraduate organizations registered with the YCDO. For example, students on leave or studying abroad may not serve as officers for a student organization.

How can my group get a table at the Student Organizations Bazaar?

Only student organizations registered with the YCDO or Club Sports registered with the Athletics Office will be allowed to participate in the Student Organizations Bazaar. Group leaders of registered student organizations will receive instructions one month prior to the Bazaar with information on how to sign up for a table at the Bazaar. Tables are assigned on a first come, first serve basis, and maps will be created to help first year students find student organizations.

How do I reserve a classroom or other meeting space for my organization?

To reserve a classroom, follow the instructions given here.

Some spaces are reserved through specific departments or administrators. If you have a specific space in mind but are unsure how to reserve that space, please contact your Student Organizations Consultant.

How does my organization get an Elilist or YaleConnect webpage?

Registered student organizations have the privilege of requesting an Elilist.

  1. Confirm you are officially registered for this academic year by checking your Yale Connect page. Unregistered organizations will be prompted to re-register.  Contact student.organizations@yale.edu for more information.
  2. Submit your request
  3. If the student organization is officially registered with Yale (through YaleConnect)
    • You are eligible to request an EliList (a Google mailing list). These are mailing lists only with no central/separate inbox. All mail sent to these mailing lists will be delivered to each member’s personal Yale inbox.
    • By default, these lists follow the format of OrgName@elilists.yale.edu. However, an alias in the format of OrgName@yale.edu may be added to the list as an additional request.
      • Note: The alias request may be denied if the alias is determined to be offensive or if the alias is already in use.

Yale Connect (yale.edu website)

  • We are no longer approving requests for a yale.edu website. Every Student Organization has acceess to a Yale Connect webpage. Please make sure to use this resource to build your own Yale Connect webpage. 

Note: please ensure that your groups request is submitted by the president of the organization, and that only one request is submitted at a given time. 

My group owns equipment or costumes that are vital to the activities of my organization. Is there any storage space on campus?

The YCDO has some limited storage space available for student organizations. If you are interested in learning more or accessing that space, please email student.organizations@yale.edu with a clear and brief description of your request, including:

  1. What you would be storing
  2. How much space you would need
  3. Whether you would need access to the space throughout the year, and, if so, how many people would need continued access. 

Are there any workshops available for student organizations?

Yes! Below is an example of a workshop available to student organizations. If you are looking for a particular workshop topic, please email student.organizations@yale.edu and we will be happy to help.

Community Values and Accountability:

To prevent sexual misconduct, and to respond well when it does occur, we need strong, inclusive, supportive communities. Student groups, as a central part of Yale undergraduate experience, are often the spaces in which that community takes shape. This workshop offers groups a chance for purposeful reflection, exploring their internal community dynamics and explicitly articulating their shared values and goals. By meeting with representatives in advance, we identify specific issues the group would like to address and customize the workshopaccordingly. The workshop is available for student groups, formal or informal, seeking to build their capacity for mutual support, accountability, and growth. To ask about a workshop for your group, contact us at cce@yale.edu.

How do I add/change officers in Yale Connect and add roles (President/Co-chairs/Treasurer)?

  1. Log into Yale Connect
  2. Open your group’s page
  3. Select “Dashboard” on the left side of the screen
  4. Click “Officers”: there  are the positions that are already created and can be assigned
  5. To add a position, once you are logged into your group’s Yale Connect page, select “Members” from the left sidebar, and click on “Positions.” Here it will give you an option to create position for your officers. Once it is saved, the option will be available on your membership page.
